1. What data we collect
We collect account information provided by business users, customer feedback submitted through the platform, usage information needed to operate the service, and connected review source data accessed with explicit user authorisation, starting with Google Business Profile data.
2. Private feedback data
Private feedback submitted through the platform is sent directly to the business and is separate from public reviews. Customers may choose whether to send private feedback or leave a public review through the available review option. The platform is not designed to block, filter, suppress or discourage negative reviews.
3. Connected review source data
When a business owner connects a supported review source, such as Google Business Profile, we may access account, location and review data with their explicit permission. We use this data to display reviews, generate reputation reports, support manually approved reply workflows, and provide user-facing AI assistance features from the dashboard.
4. Google Business Profile data
When a business owner connects Google Business Profile, Digital Reviews may access Google business account, location and review data with explicit user permission. We use this data only to provide features to the authorised business user, including review display, reputation insights, report summaries, reply suggestions and manually approved review reply workflows. Google Business Profile reviews are not imported until the business owner selects the authorised Google Business Profile location they want to connect.
5. How data is stored
Business account data, review content, feedback submissions and related usage logs are stored in secured systems with restricted access, limited to operational and support needs.
6. Who can access the data
Access is limited to the authorised business team using the dashboard and internal personnel who need access for support, maintenance or security purposes.
7. OAuth access and refresh tokens
OAuth access and refresh tokens are stored securely and are only used to access connected review source data with the user's permission. Tokens are not sold or shared for advertising purposes.
8. Google API Services User Data Policy
Digital Reviews' use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
9. AI features
Digital Reviews may use AI service providers to generate user-facing summaries, reputation reports and reply suggestions for the authorised business user. AI-generated content is provided as a suggestion only. Google Business Profile data is not used to train general AI models. Connected review data is used only to provide dashboard insights, report summaries and reply suggestions for the authorised business user.
10. Service providers
We may use trusted service providers to operate the platform, including hosting, database, authentication, analytics, email and AI infrastructure providers. These providers may process data only as needed to provide the service and are not permitted to use the data for their own advertising purposes.
11. Data retention
We retain business account data, private feedback and connected review data only for as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, or until deletion is requested, subject to applicable platform and API policies.
12. Data deletion and disconnection
Users can disconnect connected accounts, including Google Business Profile, at any time. After disconnection, Digital Reviews will stop using OAuth credentials to access data from that connected review source. Users may request deletion of their account data, private feedback data and connected review data by contacting support@digitalreviews.uk.
